Invoice OCR software: AI tools that read invoices and bills

17 tools in this directory document AI that reads supplier invoices and bills and turns them into data your accounting system can post. Below is what each vendor says its capture does, the ledgers it connects to, and whether a person reviews the result.

Tools that read invoices with AI

In order by name. Each description is the vendor’s own, recorded on its listing with a source link.

“Documented” line-level data means an AI feature on the listing mentions invoice line items. “Not stated” means the listing doesn’t say, not that the tool can’t. Ledgers are QuickBooks Online, Xero, NetSuite, Sage Intacct and Microsoft Dynamics.

What invoice OCR reads

Invoice OCR turns a PDF, scan, photo or email attachment into fields an accounting system can post. The fields vendors name on these listings include the supplier, invoice number, invoice and due dates, totals and payment terms. Some read each line of the invoice as well, which is what coding a bill across several GL accounts and three-way matching against purchase orders and receipts depend on. 8 of the 17 listings describe line-level data.

Capture is usually one step in a longer accounts payable workflow. After extraction, many of these tools also suggest GL coding, match bills to purchase orders or route them for approval, and their listings say which. The AP automation and invoice processing category compares them on that workflow, including SOC 2 reports and data use.

Template OCR versus AI extraction

Older capture tools needed a template for each supplier’s layout and broke when a layout changed. Several tools here describe model-based extraction instead. Coupa AP Automation uses Rossum’s transactional large language model for template-free ingestion, NetSuite Next Bill Capture uses OCI Document Understanding, and Medius uses in-house machine learning models. Some keep people in the loop as part of the service: AvidXchange describes its own indexing staff checking AI-extracted invoice data. There is more on the difference in AI invoice processing versus template OCR.

What to check before you choose

  • Your own invoices. Run a sample through a trial, including the awkward ones: multi-page bills, credit memos, foreign currency, freight and tax lines, and poor scans. Accuracy rates in vendor marketing are measured on their customers’ invoices, not yours.
  • Where the data goes. Check that the tool posts to your ledger or ERP natively, not by export. The Ledgers column shows what each listing documents.
  • Who reviews it. 6 of the 17 listings describe a person reviewing AI output by default and 10 make it configurable. Ask how low-confidence fields are flagged and whether the audit trail shows what the AI extracted and what a person changed.
  • Security and data use. 12 of the 17 listings confirm a SOC 2 Type II report. 4 state that they don’t train AI models on customer data, 2 say they do and 11 don’t say publicly. The vendor questionnaire covers what to ask.

Invoice OCR software: questions

What is invoice OCR?
Invoice OCR (optical character recognition) is software that reads an invoice from a PDF, scan, photo or email attachment and extracts its data, such as the supplier, invoice number, dates, amounts and tax, so it can be posted to an accounting system or ERP without retyping. Current tools pair OCR with machine-learning or language models that can read layouts they haven't seen before.
Is invoice OCR the same as AI invoice processing?
Not quite. OCR turns the image into text and fields. AI invoice processing also decides what to do with them: coding the bill to GL accounts, matching it to a purchase order and routing it for approval. Many tools on this page treat capture as the first step of a wider accounts payable workflow, which the AP automation and invoice processing category compares.
Which invoice OCR tools read line items?
AppZen, AvidXchange, Dext, Medius, Ramp, Tipalti, Vic.ai and Yooz describe line-item or line-level invoice data in the AI features on their listings. The other 9 listings don't say either way, which isn't the same as not supporting it, so ask the vendor.
How accurate is invoice OCR?
Vendors publish accuracy and touchless-processing rates measured on their own customers' invoices, so we don't repeat them. Results depend on scan quality, how varied your suppliers' layouts are, and language. Test a sample of your own invoices, including credit memos and multi-page bills, and check how the tool shows fields it is unsure about.
Does invoice OCR replace AP staff review?
It depends on the tool and how you set it up. 6 of the 17 listings describe a person reviewing AI output before it posts, 10 let customers set rules or thresholds that decide what runs automatically and what goes to review, and 1 describes processing without review by default. The "Review of AI output" column shows each tool.
