What an AI accountant is, and isn’t
“AI accountant” and “AI agent” are marketing terms for software that carries out a sequence of accounting steps: gathering data, applying rules or a model, and producing an entry, a match, a workpaper or an answer. The difference from earlier automation is that an agent decides the next step itself, within limits the customer sets, and handles documents and data it hasn’t seen before.
It isn’t an accountant in the professional sense. Accounting licenses are held by people and firms, the IRS requires anyone who prepares federal tax returns for pay to have a PTIN, and a business remains responsible for its own books and filings. That is why the review default above matters more than the label.
Questions to ask about an AI accounting agent
- What can the agent change or post without a person approving it, and can that limit be set by amount, account or confidence?
- Which systems can it write to, and with whose permissions?
- Does the audit trail show each step the agent took, what a person changed and who approved?
- How are errors reversed, and who is told when the agent is unsure?
- Does the vendor’s SOC 2 report cover the agent, and is customer data used to train models?
The AI vendor questionnaire has these and more, ready to send. For how automation and review fit together by process, see accounting automation software.
AI accountants and agents: questions
- What is an AI accountant?
- Software sold to do accounting tasks with AI: categorizing transactions, reconciling accounts, drafting journal entries, preparing workpapers or answering questions about the books. Some vendors use the phrase "AI accountant" for that software, among them Pilot and Zeni. It isn't a person: people and firms hold accounting licenses, and the business stays responsible for its books and filings.
- What do AI accounting agents do?
- They run multi-step tasks rather than answering one question at a time. Across the 41 tools here, vendors describe agents that code bank and card transactions, match and reconcile accounts, prepare close and audit workpapers, read and code invoices, explain variances and build forecasts. The table lists each vendor's own description.
- What is agentic AI in accounting?
- AI that plans and carries out a sequence of steps toward a goal, such as gathering support, matching transactions and drafting reconciling items, instead of producing a single suggestion. Of the 41 tools here, 36 describe it working with a person reviewing first or inside limits the customer sets.
- Can an AI accountant replace an accountant?
- Not in the vendors' own descriptions here: 25 of the 41 describe a person reviewing the agent's work by default, and 11 let the customer decide what runs without review. Federal projections also point to growth for accountants and auditors; see will AI replace accountants?
- Can AI prepare and file tax returns on its own?
- The IRS requires anyone who prepares or helps prepare federal tax returns for pay to have a valid PTIN (IRS (opens in a new tab)). Tax tools in this directory describe AI that drafts returns and workpapers for a preparer to review; see AI tax software.
- Who is responsible when an AI agent makes a mistake?
- The business remains responsible for its financial records and filings, and a firm for the work it signs. Read the vendor's terms for what it takes responsibility for, and set approval rules so that anything material is reviewed before it posts.
- Is an AI bookkeeper the same as an AI accountant?
- Vendors use both terms loosely. AI bookkeeping tools focus on day-to-day records: coding transactions, matching receipts and reconciling accounts. Tools pitched as AI accountants often add close, reporting or tax work. Compare what each one documents rather than the label; see AI bookkeeping software.
